Minutes of the 29th ALLCU AGM Writtle College 20th July 2007

 

Apologies – Jon Humphreys (Myerscough), Elisabeth Buchan (SAC), Christine Barclay (Elmwood), Phil Colburn (U. Wales, Aberystwyth)

The meeting began with the election of officers. Jane Keightley (Warwickshire College) was elected secretary. The Chair, Rachel Hewings, welcomed Lydia Crick back, as she has been absent from the past several conferences. Minutes of previous meeting – accepted as a true and accurate record.

MATTERS ARISING – Sponsorship – Clarification was requested about the amount of the grant to library employees at ALLCU member colleges who want to undertake training in librarianship. The decision will be made on a case by case basis and will cover up to half the cost of the course for that year, but with the sum awarded not exceeding £500. It was decided that applicants can apply for each year of their library and information science course, including distance learning programmes. However priority would be given to applicants who had not previously received sponsorship. Mary Hilder (Holme Lacy College) thanked ALLCU for supporting Jackie Watkins in the first year of the FdSc programme at Warwickshire College. The Treasurer will send Mary a form so that Jackie can apply for her second year.

CHARITY DONATION The executive committee recommended that Water Aid and Send a Cow charities receive the same amounts in donations as last year. This was agreed by those present. Members were asked to bring ideas for next year’s donations to the Oxford conference in 2008. Only land-based charities will be considered.

NAME CHANGE J. Humphreys proposed the following name change : Association of Libraries in Land-based Colleges and Universities. M. Flynn seconded and the motion was carried by a show of hands. Discussion was held about name changes of other similar land-based information specialists’ organisations. R. Mills (Oxford) suggested that in future there might be one umbrella organisation which he would like members to explore and discuss at the ALLCU conference next year.

OFFICERS’ REPORTS There was no report from the chair, R. Hewings, as she hosted the ALLCU conference this year. Treasurer Audited accounts were presented to members.

NEXT YEAR’S CONFERENCE An offer was made and accepted for the 30th Annual ALLCU Conference to be held at Wadham College in Oxford from 14th -16th July 2008. R. Mills will organise and host the conference which will have the theme : Next 30 Years. ALLCU will subsidise costs to keep them in line with previous conference costs so that up to 33 members can attend. Prices for day delegates will be included in the conference booking system which will be online via the Oxford University website. The 2009 conference may be held at Hadlow College, if the new LRC is ready.

AOB ALLCU website : journals holdings. As no one knows the password to the holdings, it was suggested that members send Helen O’Brien, the webmaster, links to their own journals lists or OPACs instead. Requesting a link from the CILIP website to the ALLCU website was suggested as a way to promote wider knowledge of the organisation. Rachel Hewings will write and send and article about this year’s conference to CILIP. The conference closed with thanks to Rachel for doing two jobs for ALLCU so well this year.
